XpressHR™ OnBoarding quickly and easily routes the new hire data and completed forms through your on-boarding process. XpressHR OnBoarding notifies all internal and external departments and service providers (i.e. financial institutions, insurance and health care providers, facility services, IT, badge creation, etc.), encrypts and saves all government and corporate forms into an electronic document repository for archival and future retrieval, and transparently uploads new employee data into virtually any back office system (i.e. HRIS, payroll, time & attendance, etc.).
XpressHR Offboarding - XpressHR OffBoarding™ allows a company to process employee terminations and accomplish de-provisioning. Whether an employee separates in a voluntary or involuntary manner, the XpressHR OffBoarding™ wizard process gathers all termination-related information and initiates time-critical tasks such as conducting exit interviews, notifying payroll systems and COBRA benefits partners.
XpressHR CrossBoarding (acquisitions) - XpressHR CrossBoarding provides a quick and efficient way to bridge transfers, newly promoted employees or acquired employees into your onboarding process. Load up employees to be processed manually or with a data load, and quickly send them a link to required corporate and government forms needed for completion, as well as provide internal notification to internal and external departments and service providers (i.e. financial institutions, insurance and health care providers, facility services, IT, badge creation, etc.). XpressHR CrossBoarding encrypts and saves all government and corporate forms into an electronic document repository for archival and future retrieval, and can export this employee data into third party applications (i.e. HRIS, payroll, time & attendance, etc.).
E-Verify - is fully integrated with XpressHR. As one of the first Designated Agents of the United States Citizenship and Immigration Services and the Department of Homeland Security’s E-Verify Program, KMS Software Company, in its capacity as an authorized Employer Agent of the Department of Homeland Security’s E-Verify program, provides all processes associated with the E-Verify program, including:
- Complete E-Verify processing for all new hires (featuring At Home, On-Site or Remote workflows)
- Complete E-Verify processing for clients who are Federal Contractors with a FARS E-Verify clause who are required to verify work authorization for existing employees assigned to the federal contract or their entire workforce.
- A Manual process for uploading paper based Form I-9’s to invoke the E-Verify process when necessary.
DocumentCenter™ - is a SaaS based document repository for storing and archiving all personnel records from date of hire to termination. DocumentCenter provides an immediately deployable solution with no hardware to buy or software to install. Its robust document management functionality includes document level security, robust search capabilities, audit trails, and flexible records management capability. Access to personnel records is limited to your security criteria and every access and action is tracked.
NY Wage and Theft Act Module – is NEW, integrated with XpressHR and fully compliant with mandatory regulations that meet the April 2011 requirements. The New York Wage Theft Prevention Act (the “Act”) was signed by Governor Paterson on December 10, 2010. The Act, effective April 9, 2011, amends the New York Labor Law to provide new protections for employees in New York, as well as stiffer penalties for employers who fail to pay their employees overtime or the minimum wage. The module helps with compliance for new hire notification and existing employee notification once a year on or before February 1st each year, as well as any time required for an update to an existing employee at least seven (7) calendar days prior to any changes to the employee’s pay or other terms contained in the notice (unless such changes are reflected in the employee’s wage statement).

- Includes one annually scheduled notice to all existing employees
- Notify all newly hired employees at the time of hiring, in writing, of their regular rate of pay, regular pay day, overtime rate of pay if they will be eligible for overtime.
- Employers must also include: The basis of the wage payment (e.g., whether paid by the hour, shift, day, week, salary, piece, or commission, or on another basis), the employer’s intent to claim allowances (e.g., tip or meal allowances) as part of the minimum wage, the employer’s name and any “doing business as (DBA)” names, the address of the employer’s main office or principal place of business and mailing address if different, and lastly, the employer’s telephone number.
MyForum™ New Employee Portal- The New Employee Portal is a key component in personalizing the employment experience for new employees to ensure that they are engaged and informed on day one. The MyForum™ New Employee Portal sits outside your firewall and helps to guide the new employee through all of the resources available to them as they prepare for the transition to your company. New Employee resources can include streaming video that welcomes the new employee or provides valuable training content; information about benefits, policies and procedures as well as an in-depth indoctrination into the company’s core values, mission statement and corporate objectives. No matter what the question is – dress code, parking, holidays, community projects, special interest groups – the answer is only one click away. New hires can start online conversations with HR, payroll or their designated mentor.
XpressHR e-Offer - is the newest member of the XpressHR Product Suite. This module allows for clients to no longer manage Offer Letter templates. By using smart data collection wizards, Corporate Representatives can create dynamic Offer Letters that have varying content based upon role, location and offer package presented. There is even the internal routing of the Offer Letter for approval(s) if needed. Approvers can comment, approve, disapprove and then applicants can be sent the Offer Letter in a secure manner. The Xpress e-Offer module allows the applicant to state in real time, if they accept or decline the position and provide comments back to the Client’s HR team. Legal click signature can be placed on the Offer Letter acceptance. The new hire’s Offer Letter Acceptance can be stored in DocumentCenter or any incumbent documents management system.
Forms OnDemand™ - is a web-based application for creating, deploying, managing, tracking and approving any HR form. Upon completion, the form is automatically routed through a pre-defined workflow process, signed and then archived into an electronic document repository, thus improving the arduous and inefficient task of manually processing forms. Forms OnDemand™ provides companies with an inexpensive and efficient employee self-help portal. An example would be a widely distributed new employee policy or a new Direct Deposit form.
